Tips & Tricks: Faster Conference Calling, Part 2

For most people the words “it's a hassle” come to mind when setting up a conference call meeting. First you have to give everyone the correct call-in number and access code, and then each participant has to find the number to dial in.

Luckily your BlackBerry® smartphone has features to make it all much faster and easier. Follow these tips to make conference calls much smoother.

Tip 1: Set up a conference call meeting with a dial-in number

When it comes to setting up a meeting with a conference call there is the laborious way and the BlackBerry smartphone way. Which will you choose?

Here are the steps for the BlackBerry smartphone way:

  1. Save conference call information once
  2. Create a conference call meeting in a new calendar appointment
  3. Join the conference call meeting from your BlackBerry smartphone
Tip 1: Set up a conference call meeting with a dial-in number

1. Save conference call information once

Start by saving your conference call information in your BlackBerry Calendar app. (This works only for when you act as the meeting organizer.) From then on you can automatically add this pre-saved information to new conference call meetings you create with your BlackBerry smartphone.

  1. On the Home screen, click the Calendar icon.
  2. Press the Menu key.
  3. Click Options.
  4. Select Conference Call Options.
  5. Type your conference call information (if your conference call setup calls for you to enter the # key after entering your access code, add it now).
  6. Press the Menu key.
  7. Click Save.

Next, you create a new conference call meeting and invite attendees from your contacts list. Your conference call information will be added automatically. Note, for this to work you must be the meeting organizer.

  1. On the Home screen, click the Calendar icon.
  2. Press the Menu key.
  3. Click New.
  4. Type the meeting information (subject, location, date, time, etc).
  5. Select the Conference Call checkbox. (This will add your pre-saved information.)
  6. Press the Menu key.
  7. Click Invite Attendee.
  8. Click a contact you wish to invite. Repeat for additional contacts.
  9. Press the Menu key.
  10. Click Save.

Meeting participants who have BlackBerry smartphones can now enter the conference call meeting with a one-touch Join Now option, if this feature is supported on their smartphone. (That is, they do not have to dial the conference call bridge number and access codes.)

Join the conference call meeting from your BlackBerry smartphone

To join the conference call, either:

  • In a meeting notification, click Join Now.
  • Or, in the calendar, highlight the meeting, then press the Menu key and click Join Now.

Tip 2: Dial into a conference call from contacts

Maybe you just want to quickly dial into a conference call from your contacts list. This works well for recurring meetings or conference call numbers that do not change.

When done properly you will be able to dial into a conference call straight from your contacts list. (And if you have more than one conference call you dial into, create a contact entry for each conference call number.)

Note: These steps work for most conference call setups; you may need to make adjustments for your particular system.

Format the conference call number

  1. In Contacts, create a new contact for your conference call-in number. Name it something like, "My conf call number" in the Company field.
  2. In the new contact's Work field type in the main part of the conference call phone number.
  3. At the end of the main number, add two pauses by pressing the Menu key, then clicking Add Pause. Repeat to add the second pause. (Add additional pauses as needed for your setup.)
  4. After the second pause, type the conference access code followed by # (assuming your conference call system asks for #).
  5. Next, add two additional pauses by pressing the Menu key, then clicking Add Pause. Repeat to add the second pause. (Add additional pauses as needed for your setup.)
  6. Type 1 (assuming your conference call system prompts you to confirm by pressing 1).
  7. Press the Menu key.
  8. Click Save.

Now you can automatically dial into your conference call by dialing the contact you just created. Your BlackBerry smartphone will automatically (1) dial the number, (2) pause for a few seconds, (3) enter the access code and #, (4) pause again, and (5) enter 1 to confirm your choice.

To make things even faster you can add the conference call contact to your speed dial list. That way you can join your conference with the press of a button. Follow these steps:

  1. In the phone application, press the Menu key.
  2. Click View Speed Dial List.
  3. Click any unassigned key.
  4. Click New Speed Dial.
  5. Click the conference call contact you created earlier.

Try it

To call into your conference call using speed dial is easy. Simply press and hold the key that you assigned to the conference call contact.

For example, to call the contact you assigned to 3, just press and hold 3 until the call begins.
